  • Overview

    Coordinates travel needs for company employees. Schedules hotel, flight, and car rentals and prepares itineraries. Assists with visa processing and other travel related documentation. Ensures that travel needs are met within the constraints of the company travel budget. Maintain existing commercial vendor relationships, evaluate new vendors and make recommendations for program improvement.  Supports commercial travel initiatives, including troubleshooting Concur issues, responding to customer service inquiries and researching hotel options for group events, Offer travel training assistance for new employees.

    Responsibilities

    Essential Duties and Responsibilities include the following. Other duties may be assigned.

    • Completes travel arrangements for client with air, hotel and ground transportation vendors at the lowest possible fares. Utilizes preferred vendors to maximize cost savings.
    • Primary responsibility for performing monthly reconciliations all travel department related expenses and Corporate Travel Business credit cards statements.
    • Collects, organizes, and incorporates data for a wide range of communications, reports and other documents related to travel.
    • Works with other departments and operating groups to help provide travel related guidance to internal clients with regard to managing their travel reconciliation and/or updating groups on current travel related changes.
    • May book or coordinate travel through Concur on behalf of employees consistent with established policies and cost guidelines.
    • Ensures that reservations for air travel, car rentals and overnight accommodations are accurate and that itineraries, tickets and instructions are available to employees on a timely basis.
    • With direction, updates standard operating procedures as necessary.
    • Maintains and utilizes the automated travel profile systems.
    • Resolves and responds to routine travel related situations and escalates appropriately when necessary.
    • Utilizes preferred vendors to reduce clients cost and maximize profit for the company.
    • Stays fully informed and stay abreast of all airline rules and regulations and other industry requirements and accurately apply this information when making travel arrangements.
    • Provides Concur Training assistance for new employees.
    • Assists in research, analytical tasks or special projects as directed.
    • Responds to incoming and outgoing correspondence in a timely manner.
    • Ensures that customers travel policies are followed and documented.
    • Troubleshoots and solve problems regarding corporate reservations or client requests promptly.
    • Assists and provides backup for aircraft scheduling and LAC administrative support.

    Qualifications

    Education and/or Experience

    Associate's degree (A. A.) or equivalent from two-year college or technical school; or two years of relevant travel industry experience. Bachelor’s degree preferred. One to three years of related experience in administrative and/or travel planning.

                                                  

    Language Skills                                                              

    Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.  Ability to write routine reports and correspondence.  Ability to speak effectively before groups of customers or employees of organization.

     

    Mathematical Skills                                                     

    Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.  Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

     

    Reasoning Ability                                                          

    Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

     

    Computer Skills                                                             

    To perform this job successfully, an individual must have strong knowledge in Microsoft Office suite and related travel software.  Proficiency in Concur, Microsoft Office products, especially Word, Excel, PowerPoint.

    Other Skills and Abilities                                                           

    Ability to work independently with little to no supervision.

    Train and provide backup for flight operations scheduling.

    Available after hours to assist customers when necessary.
